Summary of Opportunity


Ashoka is seeking a person with entrepreneurial qualities and ethical fiber to achieve efficiency in the short, medium, and long term of all financial and administrative activities of the organization in Brazil, including budgetary control, cash flow, management information systems, financing, accounting, banking operations, investments, risk management, policy implementations and audits.

This is a
full-time position based in São Paulo.


Main responsibilities include:

  • Coordination of work with the outsourced accounting firm (payroll coordination, vacations controls, financial information flow, request and monitor tax payments, monitor inspections in general, etc.);
  • Administrative management of personnel in partnership with the outsourced firm and Ashoka Global Talent Team (search, selection and hiring management, internship policy, documentation maintenance, talent development);
  • Supervision of documentation storage and file control of contracts (vendors, donors, consultants, etc.);
  • Maintenance of the financial system with classification of all income and expenses in the different grants/programs, as well as digital archiving of all documents (NFs, receipts, tax collection forms, bank statements, proof of payments);
  • Cash flow control and monitoring;
  • Elaboration, revision and tracking of project finance information along with project managers and donors, including the preparation and control of budgets;
  • Monthly preparation of the financial report and bank reconciliations;
  • Control of board documents and necessary corporate acts and board meetings;
  • External audit assistance; maintenance and improvement of internal controls;
  • Management, nationalization and implementation of institutional policies, such as GDPR, DEI (diversity, equity and inclusion), Children and Youth, anticorruption, among others;
  • Support for office administrative needs;
  • Maintenance of legal obligations and contact with legal pro bono team for specific consultations;
  • Constant communication with Ashoka Global Finance and HR to prepare cash requests, country reports, maintenance of official Ashoka platforms, among others;

Qualifications and Qualities:


  • Undergraduate in administration, accounting, economics or similar areas;
  • Experience in administrative and financial areas of civil society organizations;
  • Experience in managing work teams and developing and implementing financial management strategies;
  • Great ability to plan, organize, prioritize and work on different tasks;
  • Ability to understand and explain complex financial and programmatic ideas in a simple, clear and organized way;
  • Be entrepreneurial, collaborative and at the same time autonomous to work with goals;
  • Be committed to social transformation and interested in civil society organizations;
  • Knowledge in MS Office programs (especially Excel) and finance systems, such as Netsuite and Salesforce (desired);
  • Proven ability to communicate effectively with a wide array of partners across all sectors;
  • Crosscultural communications skills, including English proficiency and intermediate Spanish to work in a global environment;
  • Ability to work in a multicultural and essentially virtual environment;
  • Experience working with a distributed team and a very strong institutional culture;
  • Ability to create and maintain strong relationships around the world, and balance the needs of multiple stakeholders;
  • Internal motivation and high ethical standards;
  • Working together for outcomes, and being opened to change course;
  • Sharing a culture of constructive criticism and respect.

Reporting and Supervision
The Administrative and Finance manager reports to Brazil Country Director and provides oversight to the following positions:

  • /Finance analyst
- /Finance intern

  • Outsourced RH/Accounting Firm (BPC Partners).
