Team Overview:
Administrative & Facilities manager is responsible for the management of our Offices.


Your role is to manage the team creating and maintaining a Safety & pleasant work environment ensuring high levels of organizational effectiveness and employee experience, communication, and security.

Support the structuring and documentation of administrative duties and office procedures, manage office facilities projects execution, vendor management and related office needs.

This position will be responsible for executing purchases of materials and services. You will be responsible for tactical sourcing, commercial and contracting execution on all complexity/size projects.


Role Responsibilities:

  • Be able to quickly learn and understand the company's existing facilities policy and methodology, and realize the wholecircle action plan of the facilities chain that fits local working culture in both policy and system from 0 to 1;
  • Be able to manage the whole life cycle of the workplace, such as workplace location sourcing, space transformation, staff move in to the workplace, office space allocation, etc., and be totally responsible for the workplace facilities; Responsible for the design and implementation of all kinds of administrative staff benefit programs in the workplace, and support the implementation of companylevel meetings and activities to ensure the efficient, orderly and safe completion of all activities; Be responsible for workplace safety management, have the ability to deal with emergencies, and check workplace safety risks and develop the prepared counter plans against emergency
  • Coordinate with EHS support to ensure employee safety which includes but not limited to Workplace Safety, Covid, Travel, Natural disasters, Accidents & Criminal, etc. Having the ability to deal with emergencies, check workplace safety risks and develop the prepared counter plans against emergency
  • Be able to complete secretarial work independently, including but not limited to meeting management, schedule management, business travel, business reception and other logistics support;
  • Having the business management driven consciousness, be able to formulate and manage facilities expenses and budgeting;
  • Be able to establish effective and practical facilities supplier management standard obligations, assess and manage suppliers' daily services, and improve the service level of suppliers;
  • Execute all activities related to the end to end procurement process.
  • Tendering, negotiation and contracting.
  • Contract management of existing (and new) contract portfolio

Role Qualifications:

  • Bachelor degree (Engineering, Architecture, Business or other similar courses) or above
  • At least 5 years with Facilities experience
  • Experience within Procurement
  • Excellent communication and multitasking ability, grounded service consciousness, good at summarizing, working cooperatively and productively with team members, having the innovation spirits to achieve working results.
  • Skills on learning to work independently and prioritizing goals.
  • Fluent in Portuguese and English
  • Well Organized and Self motivated
