The Administrative Assistant will support the Business Unit governance in alignment with the BMS Brazil priorities, enhancing the internal collaboration.

Main Responsibilities

  • Support BU activities such as digital archiving, org charts update, BU new employee onboarding process.
  • Be responsible for payments, PO management and contracts.
  • Be the area ́s focal point, connecting with all company areas locally and, also to be able to connect with areas in the headquarter and BMS affiliates.
  • Support internal and external events planning/organization with marketing managers and other areas.
  • Support the organization of meetings and coffee breaks in the office considering the BU needs.
  • Organize and books business trips for the BU individuals.
  • Support directors on their agenda management.
  • Work in liaison with other assistants and areas.
  • Complete online training defined by BMS;
  • Train, coach and develop trainees to administrative assistant function
  • Control the budget of the BU cost centers
  • Comply and ensure direct reports are in full compliance with internal policies and procedures, with full commitment to the highest standards of Ethics and Integrity
Scholarship

  • Graduated in any area of knowledge that drives to administrative assistant, such as (but not limited to) secretary, administration, marketing or accounting.
Skills and Capabilities

  • English advanced to fluent highly recommended
  • Spanish or another other language is desirable
  • Good interpersonal relationship
  • Team player
  • Good oral and written communication
  • General computer skills
  • Good knowledge on Office Package

The occupancy type that you are assigned is determined by the nature and responsibilities of your role:

Site-essential roles require 100% of shifts onsite at your assigned facility. Site-by-design roles may be eligible for a hybrid work model with at least 50% onsite at your assigned facility.

For these roles, onsite presence is considered an essential job function and is critical to collaboration, innovation, productivity, and a positive Company culture.

For field-based and remote-by-design roles the ability to physically travel to visit customers, patients or business partners and to attend meetings on behalf of BMS as directed is an essential job function.
