We are searching for the best talent for Executive Assistant (Fix term: 5 months) to be in Sao Pulo.

Purpose:
The Executive Assistant is responsible for providing comprehensive administrative support to assigned Janssen Brazil directors.


You will be responsible for:


  • Is responsible for calendar coordination, scheduling and arranging meetings with internal and external partners, managing vendors for meetings, complex domestic and international travel arrangements, and closely partner with internal teams;
  • Must have the ability to make lastminute changes to calendar due to shifting priorities;
  • Prepares expense reports to assigned Board Members;
  • Interacts with various levels of management and must build strong relationships with Executive Assistants to other Board Members;
  • Supports the governance of assigned Board Members' leadership teams, organizing monthly meeting agenda and meeting minutes;
  • Is responsible for scheduling and coordinating team meetings and events (space, food, supplies, logistics) both onsite and offsite;
  • Is responsible for endtoend purchase orders in the scope of Executive Assistants and has a shared responsibility with the Executive Assistants to other Board Members over the purchase and management of office supplies.

Qualifications:


  • A minimum of a High School diploma is required.
  • Proven ability to work collaboratively as part of a team, possess exceptional communication skills (both written and verbal), and operate with a high sense of urgency while maintaining a high degree of professionalism is required.
  • Strong organizational skills and attention to detail is required.
  • The ability to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, highprofile, and rapidly changing environment is required.
  • Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required.
  • Handling of mediumsized internal meeting logistics is required.
  • Experience managing multiple calendars via Outlook is required.
  • Fluent in English. Spanish is a plus
