Pulse, part of Acteon Group, are a market leader in subsea structural monitoring providing highly sophisticated monitoring systems and services to both oil & gas, and renewables clients around the globe since 1998.

Due to our ambitious growth plans we are looking to strengthen our team in a number of roles globally.

Pulse is looking to add a
Project Document Controller to the team in Brazil.

The Document Controller shall work very closely with the PM, Engineering Manager, and Project Engineers to understand project documentation requirements, delivery timelines, and documentation workflow for Pulse and the Client.


Duties

  • Work closely with Client's Document Controller counterpart for all document transmittals in/out
  • Ensure all templates and document formats conform to Pulse and Client specific project requirements
  • Receive instructions from Project Manager and Project engineer for document transmittals to client
  • Update Document Register accurately to record status of all documents in and out
  • Upon receiving transmittals from Client, Document Controller shall store files accordingly and immediately inform project team on the arrival of new document from Client
  • Provide weekly status to Project Managers and PE with documentation status, upcoming document delivery deadlines, delayed documentation
  • Keeps control on the amount of revision cycles and informs PM/PE if a document has reached more than "X" amount of revision cycles
  • General QA review on all outgoing documents to ensure all relevant information is included per project requirements
  • Create customer records as required and prepare documents for transmittal to client according to project specific procedures
  • Maintaining information in Document Register and SharePoint
  • Create and maintain document numbers including client and supplier's numbers
  • Generate reports that could include Late Reports, Status Reports, Open Reports, and others as required and addresses identified problems
  • Follow document control procedure in transmitting and receiving documents
  • Generate and maintain MDR for client and project team use
  • Handles and registers all outgoing and incoming transmittals according to project document control procedure
  • Receives general instructions for routine projects and detailed instructions for more complex projects
  • Maintains efficient paper and electronic filing systems and ensures quick retrieval of requested documents
  • Ensures accurate and timely communication to involved parties

Required

  • Proven work experience as a Document Controller or similar role
  • Familiarity with project management
  • Handson experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Proficient typing and editing skills
  • Organized & disciplined, able to manage documents from multiple projects
  • Motivated, hardworking, and focused on end goal
  • Ability to work under pressure
  • Ability to communicate with all stake holders
