Role and Responsibilities
What will you achieve?
- This person is responsible to ensure office facilities are being well maintained, secure and used with care.
- Responsible for managing Office daytoday tasks and maintenance
- Negotiate purchase of office supplies, materials and/or services aiming to maintain office operation under manageable rational expenses.
- Coordinate with Procurement team for acquisition engagements, purchase Orders and requests.
- Coordinate with building management (condominium) and landlord.
- Be liaison with company Security Team to grant/revoke access to office facilities and other security actions.
- Support to Leadership executives in country manage expense reports, travel arrangements, coordination of meetings and agendas.
- Interact with Executives, regional leaders and team members in other countries to align tasks and projects which include actions or visits to local office.
- Support to HR, Finance and Accounting teams for office/team related activities, as required
- Support to Sales team to deliver contracts and other documents to customers
- Answer and direct phone calls coming to main office lines, as well as host visitors as needed
- Support translation adhoc requests (English to Portuguese)
- Working with a software and technology company that powers the global travel industry operating in approximately 30 countries around the world.

Must Have Skills:
- 13 year experience an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- University degree or a degree in course
- Administration or Business preferred
- Overall knowledge of office management and procedures
- Working knowledge of office equipment, like printers and scanners
- Proficiency in MS Office (MS Outlook, Excel and PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Strong organizational skills with the ability to multitask
- Portuguese and English: Excellent written and verbal communication skills
Nice To Have Skills:
- Additional qualification as an Administrative assistant or Secretary will be a plus
- Coupa and DocuSign system handson experience
- Spanish: Written and verbal communication skills
