We are seeking a highly organized and detail-oriented individual to join our team as a _
Personal Assistant and Bookkeeper_.

In this role, you will be responsible for providing comprehensive support to the 4 executives and handling various administrative tasks.


  • Strong written AND
    SPOKEN English is a requirement.
Additionally, you will play a critical role in managing the financial aspects of the organization as a bookkeeper. All communication will be in English.


Responsibilities:


1.


Administrative Support:


  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Organize and coordinate meetings, conferences, and events.
  • Prepare and edit correspondence, presentations, and reports.
  • Assist in creating and maintaining organizational files and databases.
  • Perform general office duties, such as ordering supplies and maintaining office equipment.
  • Performing customer service activies for the short term rental and other real estate management portfolio.

Bookkeeping:


  • Maintain accurate financial records, including accounts payable and receivable.
  • Prepare invoices, financial statements, and other financial documents.
  • Reconcile bank statements and ensure the accuracy of financial transactions.
  • Monitor and manage petty cash transactions.
  • Assist in budgeting and financial forecasting.
  • Work closely with the accounting team to ensure compliance with financial regulations and policies.
  • Assist in the preparation of tax documents and liaise with external auditors when necessary.

Confidentiality and Communication:


  • Maintain strict confidentiality regarding sensitive company and personal information.
  • Serve as a liaison between executives, clients, and other stakeholders.
  • Communicate effectively and professionally in both written and verbal forms.

Requirements:


  • Proven experience in Bookkeeper or in a similar role.
  • Proficiency in bookkeeping software and tools (e.g. Excel).
  • Strong organizational and time management skills.
  • Excellent attention to detail and problemsolving abilities.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Exceptional communication and interpersonal skills.
  • Discretion and confidentiality in handling sensitive information.
  • Familiarity with financial regulations and reporting requirements.
  • A proactive and selfmotivated approach to work.
  • Extensive background checks and reference verification will be conducted.

MUST have availabilty for phone calls (via Skype / Zoom / WhatsApp) during work hours. A plus to be available for text outside of scheudled work hours.

This is a fully remote position and location is not important. But avaiabilty for calls and video calls is required.
