Job Description (Roles and Responsibilities) 1


Main Purpose of Job:

Overseeing the day-to-day network official transport requirements. Making sure that all daily transport requests are dealt with in a timely and organised manner. Overseeing the maintenance of the network official fleet, servicing, cleaning and ad-hoc maintenance. Maintaining vehicle log books and insurance. Leading on diplomatic registration of vehicles, including for UK Based members of staff. Itamaraty documentation, airport clearances, Official documentation for Receita Federal, Ibama, Customs, air cargo, Detran, and Cartorios. Liaising with London on vehicle replacement and related audit requirements surrounding the purchasing and selling of vehicles. Liaising with Brazilian Authorities, MRE, Federal Police, Infraero, Customs etc. Drafting and issuing of Notas Verbais and the completing of all necessary official documentation for importations and exportations.

Dealing with official clearance procedures for new network UKB staff arrivals including for Heavy Baggage, UAF, vehicle importations, Diplomatic accreditation.

Liaising with MRE with correspondence on service of processes issued from London. 40%

Responsible for the operation of the diplomatic bag schedules. 12%


Provide general administrative and transport support to the network Teams when dealing with all official visitors to Brazil, including for all VIP visits.

Oversee transport support for the G20 in %

As Vice Consul, Brasilia:
manage the Embassy's consular section, ensuring adherence to global guidance and service standards; provide notarial and documentary services (e.g. emergency travel documents); and deliver tailored, empathetic consular assistance to British Nationals, focused on the most vulnerable. 10%


Provide other ad-hoc administrative support as and when required and be able to cover for other senior Corporate Service colleagues during absences and leave periods.

Direct Line Management - 1 x Transport & Logistics Analyst & 1 x Official Driver. Counter-signing for 2 x Transport and Logistics Analysts in Rio & Sao Paulo. 20%

Percentages may change depending on operational requirements.

Essential qualifications, skills and experience - Experience with line management, and leading or managing small teams. Be able to prioritise tasks, delivering through others and tasking team members effectively, including dealing with under-performance.

  • Confident in dealing with challenging situations, including being able to multi task during busy periods.
  • To be able to build effective relationships quickly with internal and external stakeholders, including team members.
  • Ability to cope with stress during difficult and stressful situations, which will be essential when carrying out consular support duties.
