Job Description (Roles and Responsibilities)


Main Purpose of Job:

To perform a wide range of estates duties across the Brazil

Network, providing daily support to the network Estates Teams as required.

He/she will work closely with the Estates Manager and Office Assistants, dealing with the day to day operation and running of the network estate.

He/she will need to be dynamic, pro-active and have a can-do positive attitude. Be a team player with excellent customer focus and relationship skills.

Strong prioritization skills and good time management with the ability to deal with many different tasks at the same time.


Roles and Responsibilties:


  • Dealing and negotiating with landlords, making sure that the terms contracts are carried out correctly and within their deadlines, and that all clauses follows FCDO Accommodations Policy. Regularly and effectively, liaise with all members of the Corporate Services teams, clients & contractors, making sure properties are arranged and managed effectively for use
  • Provide general estates support to the Brazil Network Estates Teams, receiving, auctioning and inspecting organization requests relative to the properties. Work closely and effectively with the Network Customer
  • Maintain a good contact network with real estate agent. Keep the service request systems up to date with regular and accurate service delivery progress and feedback to clients (Relationship and Procurement Teams)
  • Work close to Estates team on local requests and properties maintenance.
  • Assist UK based officers in finding suitable accommodations as and when required. Using the inspection process as a method of analysis.
  • Work closely with the Network Procurement Team on all estate leasing contracts, making sure that they are all managed effectively. Organize and maintain all property files, libraries & databases, including furniture stock control.
  • Provide other adhoc administrative support as and when required and be able to cover for other senior Corporate Service colleagues during absences and Leave periods
  • The Network Estate Property Analyst position and balance of responsibilities will inevitably change, particularly during first six months.

  • Experience in dealing with contracts, particularly leasing contracts
  • Advanced English skills required
Desirable qualifications, skills and experience

  • Undergraduate at University level preferably in Business Administration or related areas
  • Knowledge of leasing contracts/procurement and of the Brazilian Estate market is desirable
