Summary of Duties:

Under the supervision of a migration officer, the program assistant will:

  • Provide administrative support services to the delivery of the Immigration, Refugees and Citizenship Canada (IRCC) program.
  • Assess problematic cases; research internal/external sources to resolve problems or discrepancies, and support program integrity.
  • Provide responsive services to clients.
  • Contribute to other activities, such as promotion and liaison with stakeholders.
  • Perform other duties as required.

ESSENTIAL QUALIFICATIONS

  • Language will be assessed further during the process.

Education:


  • A bachelor's degree or undergraduate diploma attesting to 3 or more years of fulltime studies from a legally recognized post secondary institution, or an equivalent combination of education, training, and/or experience*.
  • An equivalent combination of education, training, and/or experience could include a college diploma or postsecondary school technical or professional diploma attesting 2 or more years of fulltime studies, with the equivalent of at least 1 year of fulltime work experience in an area related to immigration, international relations or the travel industry._

Language:


  • An advanced proficiency level (reading, writing, comprehension and speaking) in English or French.
  • An advanced proficiency level (reading, writing, comprehension and speaking) in Portuguese.

Experience:


  • At least one (1) year of recent* experience working in an office environment performing administrative tasks and using standard software (e.g. MS Office, Word, Excel).
- _Recent is defined as within the last 5 years_


RATED REQUIREMENTS
The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies.

Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.


Knowledge:


  • Knowledge of computer systems/software allowing to produce reports, spreadsheets, presentations, correspondence and databases, such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

Asset Qualifications:


  • Ability to work in both of Canada's official languages (English or French fluency).
  • A bachelor's degree or undergraduate diploma in a discipline related to immigration (e.g. international relations, law, etc.).
  • Personal international migration experience, other than touristic (e.g. immigrant in Brazil, studies or work in a foreign country, etc.).
  • Experience using IRCC's Global Case Management System (GCMS).
  • Recent* work experience in an area related to immigration (e.g. in a foreign mission's visa/consular section, in an organization helping migrants or refugees, etc.), or in risk assessment/fraud analysis, or in stakeholder engagement/social media handling.
  • Recent is defined as within the last 5 years_

Operational Requirements:


  • Willingness and ability to work at the office during mission's established working hours (the Migration Section's current working hours are: Monday-Thursday from 7:30 to 16:30, and Friday from 7:30 to 13:00).
  • Willingness and ability to work occasional overtime after regular working hours/outside normal working hours (e.g. Friday afternoons, evenings and weekends) and potentially on short notice.
  • The mission applies a combination of Brazilian and Canadian statutory holidays, which means you will be required to work on certain Brazilian holidays.
  • Willingness and ability to travel domestically within Brazil as required and potentially on short notice.

Conditions of Employment:


Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

Valid work authorization:Ability to obtain and hold a valid work authorization covering the entire employment period.

Security screening:Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
